If you run a dance school, martial arts studio, swim school or any other class-based tuition group, you already know that term fees are the lifeblood of the business — and the biggest administrative headache at the start of every term.
At the start of Term 1 you need to work out what each student owes (different amounts for different classes), send that information to 60 families, then chase the ones who haven't paid by week three. Repeat four times a year.
Most dance schools manage this in Excel. Some manage it in their head. Almost all of them find it exhausting.
Why term fees are harder than regular membership fees
A standard membership fee is simple — one amount, once a year, same for everyone (or at most a few categories). Term fees are more complex because:
- Different students are in different classes — one student might do Ballet and Jazz, another just Hip Hop, another does four classes a week
- Different classes have different fees — a one-hour class costs more than a 30-minute class, advanced classes might cost more than beginners
- Fees change each term — some students drop classes, add classes, or move between levels
- You're dealing with parents, not the students — payment follow-up needs to be professional and clear
Doing this in a spreadsheet means manually calculating each family's total, manually creating or typing each invoice, and manually tracking who has and hasn't paid. With 60 students across 12 classes, that's a full day of admin at the start of every term.
A better system — how it should work
The ideal term fee system works like this:
- Set up your classes once — Ballet Grade 3, Jazz Senior, Hip Hop Juniors etc — with the fee per term for each

What information do you need to track?
For a well-run term fee system you need to know:
- Student register — name, parent/guardian name, email and phone
- Class list — each class with its day, time, duration and fee per term
- Enrolments — which students are in which classes this term
- Fee status — who has paid, who is outstanding, who has a payment plan or waiver
Note on membership vs enrolment: Some dance schools charge a separate annual registration or membership fee on top of term fees. Keep these separate in your records — registration is annual, term fees are per term. Mixing them up creates reconciliation headaches.
Common problems and how to avoid them
Students in multiple classes — who gets what invoice?
The answer is: one invoice per student per term, listing all their classes and the total. Don't send separate invoices per class — families find it confusing and you'll spend time reconciling multiple payments.
Mid-term enrolment changes
If a student joins mid-term, pro-rata the fee or wait until next term — but document which option you chose and apply it consistently. Having a written policy saves awkward conversations.
Unpaid fees from previous terms
Don't let outstanding fees from Term 1 roll into Term 2 invoices silently. Keep them separate and follow up individually. Combining them with current term fees makes it harder to track what's actually owed.
Following up late payments
A polite reminder email at week two of term is standard. If fees are still outstanding after week four, a phone call works better than another email. Having the invoice on file means you can reference the exact amount and classes in the conversation.
